Here are 8 practical tips to transform from a state of reactivity and chaos to laser focused and productive.

1. Have a clear vision & goals

Without a clear vision and goals it is impossible to know what you should be working on and prioritising. This step simply cannot be missed. Go and look at your calendar now and schedule an hour or two to get crystal clear on what you are working towards. Then break those big goals into smaller goals. I like to do this per quarter so I know how to plan my weeks in order to ensure I am working on the most important tasks to ensure I hit all my goals.

2. Create a flow

Create daily and weekly routines based around your energy and when you are able to be focused and productive. If you are client facing this may mean you need to carve out some time in the morning, middle of the day or end of the day where you can get in the zone to focus on the big picture, admin and tasks that are going to move the needle and create momentum in your business.

3. Make the time

Each month take a look at your calendar and schedule blocks of time to work. Make time for yourself (movement, mindfulness etc), business (CEO time-work ON your business and it’s future), admin (less fun but often essential), plus anything else that is essential to running your business and life. Think about your daily and weekly flow and time block accordingly.

4. Use a to-do list:

It is beneficial to have a running to do list, somewhere you have quick and easy access – this may be a notebook or your phone. I like to use notes on my phone as I can easily move tasks up or down the list plus add and remove as needed. I list my top 3 MIT at the top and then have a running list underneath. You may like to break it into business | Personal | Home - or whatever works for you.

5. Eat the frog

Terrible terminology but what this means is to action your top 3 most important tasks (MIT) first thing in the day. Ideally before you open social media, your emails, start taking calls etc. Run the day or your day will run you. Things come up, distractions occur. Smashing out your top 3 MIT will ensure you start your day on the right foot. Once you complete these you can move them from your daily list and check what is next in line.

6. Get in the zone

Maintaining an uncluttered workspace, desktop, phone, mind is critical to ensuring you are working productively. You may like to complete certain tasks in different areas of your home or business. Meetings may be at a local café, admin at the dining table, MIT at your desk in the office. Whatever works. Turn off notifications and focus on the ONE thing you have scheduled to complete. Jumping from task to task and context switching is a killer. Stay focused and get the job done.

7. Utilise technology

There are countless apps that will help with organisation and productivity. Favourites include: Notion, Manychat, Slack, Google workspace and Google Sheets. What you use will depend on your business. 8. Learn when to delegate, outsource or delete!

Can you try and do it all? Possibly. Will you burn out? Likely. Even if you are a solopreneur there is always opportunity to get help. Don’t be afraid to allocate spend to getting a VA or outsourcing work that you do not enjoy, aren’t good at or simply do not want to. Utilise your team, contractors and make it work in your favour. If you are spinning your wheels on admin and repetitive tasks consider outsourcing or delegating. Particularly if the cost to do so is minimal or lower than your hourly rate.
